Create a Custom Graduate View

Creating "Views" of survey responses can be highly beneficial for administrators who need to filter graduates' answers to specific questions. For instance, if graduates were asked about ADA accommodations in the registration survey, admins might want to identify how many ADA requests were submitted. In this example, the "Views" allow for “Yes” responses to be filtered and reviewed so event planners can prepare accommodations in advance.

Following the same ADA example:

To create a View for all graduates who answered “Yes” to the ADA accommodation question on the graduate survey, navigate to the Graduates module of your dashboard and select Load All Graduates.

If multiple ceremonies are in progress, be sure to select the ceremony you want to create the View for from the Ceremonies dropdown menu.

Instructions to create a new view:

  1. Go to the Graduates module.
  2. Load All graduates.
  3. From the All Ceremonies drop-down menu, select the ceremony this view will be created for.
  4. Click on the All Graduates dropdown menu. This will show all the currently established views.
  5. At the bottom of the dropdown menu, select Create View. A new window will pop-up.
  6. Name your view. For example, “ADA Accommodations”.
  7. Under Available Columns, select all the graduate data fields that you want to view along with what you’re filtering for, such as graduate name and email.
  8. Under Form Questions, you will see a list of all the questions graduates were asked on their survey. Select the question(s) you would like to filter for.
  9. Under the Filter Results section, select +Add criteria option at the bottom, then:
    • Select the green LastName dropdown button.
    • Scroll down to the Form Questions, and find the question you want to filter for from the list.
    • Select Exactly Matches
    • Select Yes
  10. Finally, click Save. Note: If you will be adding more than one criteria option, be sure to pay attention to the And/Or dropdown selection.
  11. Now, when you select the View you have just created, a list of all graduates who answered “Yes” to the ADA accommodation survey question will be filtered for you.

If you wish to share these views with other team members or departments, the site allows you to export the information in the view as an Excel document. Please review Export Graduate Views based on Survey Responses for more instructions.
